Monday – Friday, 8:00 AM – 5:00 PM (1-hour lunch)
About the Role
We are seeking a highly organized and analytical Administrative Specialist to support a dynamic contract administration division in a professional, fast-paced environment. This role is ideal for someone with strong administrative experience, attention to detail, and the ability to manage complex projects and reporting tasks.
Key Responsibilities
- Provide advanced administrative and analytical support to a division or department
- Track and monitor contracts, including timelines, deliverables, and reporting requirements
- Assist with preparation of City Council, board, or committee memos and documentation
- Conduct research and analysis (quantitative and qualitative) to support decision-making
- Prepare detailed reports, presentations, and written communications
- Support cross-functional projects and collaborate with internal and external stakeholders
- Assist with budget tracking, forecasting, and financial reporting tasks
Required Qualifications
- Minimum 3 years of progressively responsible administrative or analytical experience
- Experience supporting departments in government, nonprofit, or complex corporate environments
- Demonstrated experience:
- Leading or supporting special projects
- Preparing high-level reports, memos, or presentations
- Conducting research and data analysis
Technical Skills
- Strong proficiency in:
- Microsoft Excel (pivot tables, lookups, basic modeling)
- Microsoft Word (formal documents, templates)
- PowerPoint (presentations and data storytelling)
- Outlook (professional communication and scheduling)
- Working knowledge of:
- Budget support (line-item allocations, forecasting, projections)
- Municipal finance practices (fund accounting, encumbrances)
- ERP/financial systems (Oracle, Workday, Munis, or PeopleSoft preferred)
- Experience with:
- Data visualization tools (e.g., Power BI)
- Research methods and data synthesis into actionable insights
