SUMMARY: The Supply Chain Specialist is responsible for collecting data, gathering and reviewing documents to produce documentation packets prepared per the codes and standards of the American Society of Mechanical Engineers (ASME) as well as other documentation packages for customers in regulated industries. High level of accuracy required.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to:
•Create Sales orders in ERP system as per details on customer’s Purchase Orders.
•Review Purchase order and Quotation for part number, quantity, price, payment terms and shipping terms accuracy.
•Ensure proper lead times, payment terms and delivery terms are entered in the system accordingly.
•Ensure recorded information is complete and meets specifications.
•Collect data such as (but not limited to) heat numbers, pallet numbers and part numbers.
•Gather, review, organize, and complete reports, certificates, manuals and documents such as but not limited to: Certificates of Conformity, Certificates of Inspection, Material Certificates, Test Certificates, Inspection Certificates and Material lists, and FAT, TOP, RT reports.
•Follow procedures to maintain material traceability
•Generate & distribute inspection forms and checklists for multiple projects
•Help design and develop processes to streamline functionality of workload
•Scan & file project records as required
•Have regular communication with clients and documentation teams. This includes, but is not limited to emails, phone calls, conference calls, and in-person meetings.
•Perform administrative duties as required
•Develop, enhance, and implement internal controls policies and procedures.
•Other duties as assigned

oEDUCATION: Bachelor’s Degree preferred.
oEXPERIENCE3-5 years of relevant office experience. Biopharma and Manufacturing industry experience strongly preferred.
oCERTIFICATIONS: n/a
oProficiency with MS Office (Word, Excel, Powerpoint) & Adobe Acrobat DC
oExperience with SharePoint is a plus
oBackground in Tech or Quality Assurance preferred
oExperience reading Mechanical Drawings
TECHNICAL SKILLS:
oStrong computer skills including proficiency with Microsoft Word and Excel.
oExperience with ERP systems
LANGUAGE SKILLS:
oRequires strong oral and written communication and presentation skills.
oMust be able to write clearly and concisely to prepare reports, specifications and correspondence.
oBilingual is a plus (Spanish)
